ATTENTION: Reminder to backup your Jonas data!


We’d like to take this opportunity to make you aware of the repercussions of Ransomware attacks. If you are hosting your own data, we don’t want you to get caught without access to it!

Ransomware attacks can cripple your operations, and all it takes is one of your staff clicking a link in an email.

Generally speaking, your IT team/consultants will be following best practices to ensure the safety of your assets.

That said, we do recommend the some additional steps to secure your data and operations:

  1. Invest in security training for your staff. These are courses that help you and your staff understand the risks of the sites you visit and the emails you receive, which in turn can help you avoid ransomware attacks. Here is one that we, Jonas, use internally. https://www.knowbe4.com/
  2. Make sure you backup your Jonas data files (and all other important data) on a recurring basis. Backing up your data gives you the peace of mind and security that if and when you get hit with a ransomware attack, you’ll have a safe copy of your data. We’ve put together a backup guide to help you out, below.
  3. Lastly, verify your backup and make sure it works. Practice a plan for disaster recovery by restoring your backup to an additional server/workstation and make sure it is accurate and will work in your hour of need.

ACTION REQUIRED: Enhancing User Experience and Security of The Jonas Cloud


In our on-going effort to provide the most effective user experience and increase data security, we are upgrading the Jonas Cloud by switching to the new, Jonas Cloud Virtual Desktop running on the new and more secure Azure Virtual Desktop. Once we upgrade The Jonas Cloud, we will enable you to use the new capability – at no additional cost to you.

IMPORTANT NOTES:

  • We highly recommend you include an IT professional as you review this communication.

To enable you to use the upgrade to The Jonas Cloud, we are requesting you to do three things:

  1. Create new shortcuts or bookmarks to access The Jonas Cloud
  2. Schedule the upgrade and enablement with The Jonas Cloud Team
  3. Perform post-upgrade actions to complete enablement

1. CREATE NEW SHORTCUTS OR BOOKMARKS TO ACCESS THE JONAS CLOUD

To enable you to use the new upgrade to The Jonas Cloud, please notify and alert your colleagues you and your colleagues will need to perform the following action items:

1. On the workstation you use to access The Jonas Cloud, create a new shortcut or bookmark that you will use to ensure you connect to The Jonas Cloud’s upgrade to the new portal page: http://www.thejonascloud.com

Note: You are typically using a “shortcut” or “bookmark” to access The Jonas Cloud at present. If you require help, please collaborate with an IT professional to create a new shortcut or bookmark.

2. Just be aware The Jonas Cloud Team will provide you and your colleagues a new login username; however, your existing passwords will remain the same.

Your usernames will be updated and changed to our new format ending in @TheJonasCloud.com

For example:

Your current login name appears something like this: John Johnson JJohnson@myCompany.jonasecs.com

Your new login name will appear like this: John Johnson JJohnson@myCompany.TheJonasCloud.com

We will send you the list of new usernames prior to the enablement.

3. The Remote Desktop app must be updated to the newest version. Please access the instructions here.

Follow the steps in the KB article to update the Remote Desktop on all user’s Windows machines. Stop on page 5 before the step to “Subscribe” as this will be done after we enable your new accounts and disable your current usernames.

4. Review the documented Welcome Guide and Login instructions. Please click here to access the guide.

A: Nothing will change. The only thing that changes is how you log into The Jonas Cloud. Once you are in, using the Jonas software platform will be the same.

2. SCHEDULE THE UPGRADE AND ENABLEMENT WITH THE JONAS CLOUD TEAM

Pick a date and time for us to perform the upgrade and enable you to use the upgrade.

During this time, your Jonas Cloud will be unavailable, and any open sessions will be forced to log off. Please pick a time outside your business hours.

3. PERFORM POST-UPGRADE ACTIONS TO COMPLETE ENABLEMENT

1. At this point, The Jonas Cloud Team has completed the upgrade to the new, and more secure, Jonas Virtual Desktop.

What is Occurring?

On August 17, 2021 we’ll be rolling out the product update for the latest Jonas version.

  • If you are on version 12.8, you will be updated to 12.8.2358.

What Action Do I Need To Take?

This update will automatically be occurring on August 17, 2021 at 4:00AM (local time). We ask that all users are logged off the cloud between the hours of 3:00am-5:00am local time. The software update will be completed by 5:00am (local time).

Who’s affected?

All customers that process Jonas Payroll in states of Kansas and Ohio.

Summary Statement – Please be advised that the payroll update labelled “July 2021 Payroll Only Update” now contains updated withholding tables for the states of Kansas and Ohio.

When & What is happening?

The 2021 Payroll Only update has been recently updated in order to account for withholding table changes for Kansas and Ohio. Please note:

  • The changes for Kansas are effective immediately.
  • For Ohio changes will impact any pay periods ending in September 01 or later. Changes are date sensitive so there is no need to wait until you process your last payroll in August before doing the update.
  • If you do not have payroll in Kansas or Ohio then the update is not required.

If this impacts me, is there anything I need to do?

This update impacts both Jonas Cloud customers, and Customers who host their own data (either on-premise or in their own cloud storage)

  • Customers who host their own data, or have their own Cloud storage, will need to download and complete the payroll only update. That payroll update can be accessed here.
  • Customers who are hosted with Jonas Cloud do not need to complete an update. These updates have already been completed by the Jonas Cloud service team. No action is required of you.

ATTENTION REQUIRED: “Sunsetting” Jonas Version 12.8


Firstly, what does ‘sunsetting’ mean?

Sunsetting means that we will no longer provide product updates and enhancements for version 12.8.

That said, here are TWO IMPORTANT NOTES:

  • We will continue to provide customer support for version 12.8
  • We will continue to provide payroll updates for version 12.8

What’s driving the decision to sunset version 12.8?

We are “sunsetting” version 12.8 so that we can focus on releasing the latest and greatest version of Jonas software – version 2021. Version 2021 contains many new enhancements, fixes and security improvements. This version will also serve as our foundation for unique and powerful innovations, which will increase your capacity to achieve your business objectives.

Could you tell me more about Jonas 2021?

We will be posting more information about Jonas 2021 release date, as well as information on all of the exciting and powerful enhancements that it contains, which we strongly recommend for our clients to use. To that end, we’ll also provide guidance on how to effectively upgrade to this version.

1. Web App Update – On the morning of Wednesday, July 14th 2021, we will be performing a product update to the Jonas Web Applications.

2. Web Server Updater Update – On the evening of Sunday, July 11th, we will be sending an update to the Web Server Updater utility. There is no action required on your part for this update.

ACTION REQUIRED – July 2021 Payroll Update


The July 2021 Tax Tables are now available for download.

Who’s affected?

Canadian Payroll users that process payroll in New Brunswick . In other words, if you use, or purchased Canadian Payroll AND have payroll in New Brunswick, this change will impact you.

Summary Statement

Please be advised that July 2021 Tax Tables are now available to be downloaded. These changes are only for the province of New Brunswick. If you do not have a New Brunswick payroll, the update is not required.

This update impacts both Jonas Cloud customers, and Customers who host their own data (either on-premise or in their own cloud storage)

  • Customers who host their own data, or have their own Cloud storage, will need to download and complete the payroll only update. That payroll update can be accessed here.

Please be advised even if you do not have New Brunswick payroll, you will still receive a message when calculating taxes for any pay ending dates between June 20th and June 30th. ATTENTION: New “File Transferring Process” in the Jonas Cloud


To improve security and performance when transferring files between the Jonas Cloud and your workstation, we are transitioning from the Q-Dir solution to the Microsoft OneDrive solution. Over the coming weeks, we will be enabling MS OneDrive on your Jonas Cloud instance so that you can setup, configure and use it.

Who is impacted by this?

If you are currently using Jonas Cloud as your hosting option, this impacts you.

IMPORTANT: We will provide you training materials in the form of KB Articles and Training Videos.

For a short time, you will be able to use both Q-Dir and MS OneDrive. This timing overlap is intended to enable you to use Q-Dir, while familiarizing yourself with MS OneDrive. Once you’ve gained confidence using MS OneDrive for your file transferring requirements, we’ll remove Q-Dir from your Jonas Cloud instance. From that moment forward, MS OneDrive will then be your more secure and faster file transferring solution.

Jonas Cloud “MS OneDrive Early Adopters” are very pleased with the increase in performance and speed, so we are very excited to launch MS OneDrive on the Jonas Cloud!

Here are the two key dates to remember:

  1. On June 28th, MS OneDrive will be available to you (as well as Q-Dir)
  2. On July 6th:, Q-Dir will be removed from the Jonas Cloud

As we get closer to these dates, we will be sending you more emails reminding you of these dates; and providing you access to the KB Articles and Training Videos for MS OneDrive.

ACTION REQUIRED – Ontario has lowered the Maximum Assessable Earnings. Effective immediately, please update Ontario WCB/WSIB Maximum Assessable Earnings in Jonas.

What is Occurring?

On May 17, 2021 we’ll be rolling out the product update for the latest Jonas version.

  • If you are on version 2018, you will be updated to 2018.2963.
  • If you are on version 12.8, you will be updated to 12.8.2300.
  • What Action Do I Need To Take?

    This update will automatically be occurring on May 17, 2021 at 4:00AM (local time). We ask that all users are logged off the cloud between the hours of 3:00am-5:00am local time. The software update will be completed by 5:00am (local time).

    Ontario WCB/WSIB Maximum Assessable (Insurable) Earnings Update


    ACTION REQUIRED – Ontario has lowered the Maximum Assessable Earnings. Effective immediately, please update Ontario WCB/WSIB Maximum Assessable Earnings in Jonas.

    Who’s affected?

    If you use, or purchased Canadian Payroll, and you process payroll in Ontario, this change will impact you.

    Summary Statement

    Please be advised that Ontario WSIB has recently announced they are lowering the maximum assessable earnings for 2021 from $102,800 to $97,308. If this affects you, please update the Ontario WCB Maximum setting in your Jonas software.

    If this impacts me, is there anything I need to do?

    You will need to manually update the ‘maximum amount’ setting in Jonas by going under Canadian Payroll > Payroll Configuration > WCB Asses. Maximums. Select year 21, province ON and update the amount under the Yearly Maximum field to $97,308.

    Action Required: Hotfix on May 6th 2021


    On the morning of Thursday, May 6th, we will be providing a hotfix update for Field Time, Field Manager, Jonas Documents and EBI. Please perform a backup of Data Mart prior to May 5th at 11:59pm Local Time.

    Who was affected?

    This affects you if you currently own and use the following modules – Field Time, Field Manager, Jonas Documents and Enterprise Business Intelligence.

    Summary Statement

    We are performing a hotfix in order to resolve minor issues in Jonas Documents, Field Time, Field Manager and EBI. The update will be completed automatically. Please backup your Data Mart. If you use Jonas Cloud, your backup is completed by our Jonas Cloud Team.

    When & What is Happening?

    On the evening of Wednesday, May 5th, we will be initiating a hotfix update that will take full effect on Thursday, May 6th 2021 at 5:00am Local Time. The following identified issues will be resolved following this update:

    Field Time

  • Terminated employees were being excluded from reports exported to Excel
  • Geolocation information was removed following Approver edits or modifications
  • Clock entry Date and Time fields were not disabled when Users saved an entry and then reopened it.
  • Field Manager

  • Multiple Job Unit entries for the same job on the same day were not saved correctly.
  • Daily Logs was not displaying the correct entries based on status flags set in Jonas Apps Admin.
  • Jonas Documents

  • An issue with Filtering the documents view was not working as expected when various filters were applied.
  • EBI

  • In Public Reports > Job Cost > Job Details, it was found that not all costs were being included in the Job Details view. The view has been modified to ensure all available costs are included for review.
  • In Public Reports a New Templates option now available. Users will have access to the several new template reports that were recently added to the EBI application.
  • Why is this Happening?

    If you are responsible for your own hosting:

  • Yes. Please make sure to do a backup of your Data Mart prior 11:59pm Local Time on May 5th.
  • If you are hosted on Jonas Cloud:

  • No. Your Data Mart backup is performed by our Jonas Cloud team.
  • Please know that between the time of the hotfix being initiated, and when it takes full effect, there will be no disruption to your service. For the Full Release Notes, please click HERE.

    Attention Required – Incident Report – Script Error

    Who was affected?

    If you launch Jonas using the Jonas Enterprise menu, this affected you. For reference, the Jonas Enterprise icon can be seen here.

    Note – this did not impact companies that use Jonas Cloud.

    Summary Statement – An update to our newsfeed page caused an error in the script that displays the newsfeed within the quick menu in Jonas. This issue has now been resolved, and this communication is to provide you with an overview of what happened.

    What Happened?

  • In order to display the newsfeed within the Jonas home screen, the newsfeed is hosted on a webpage, which is then brought in to the software, employing a script. In the recent update, the URL, where the newsfeed is hosted, unexpectedly changed. As a result, the wrong URL was brought in, and employed scripts that caused the errors.
  • How does this affect me?

    ATTENTION REQUIRED: Maintenance to the Jonas Communication Service

    On April 20th and 27th, there will be scheduled maintenance completed on the Jonas Communication Service (JComm), which will result in a momentary outage.

    Who’s affected?

  • This affects clients who use our most recent versions of Jonas JonasCommuniationService (JComm). You are receiving this email because our most recent records indicate that you currently utilize one of these versions.
  • Summary Statement

  • On April 20th 2021, we will be updating JComm to a new version that will enable us to automatically update SSL certificates, which we will be doing on April 27th 2021.
  • What is occurring?

  • SSL Certificates will be expiring on May 5th 2021 and in order to maintain ongoing service, we have coordinated a 2-step approach to update the JComm service. Each update takes approximately 20 minutes.
  • Step 1 – On April 20th 2021 at 5:00am Local Time, Jonas will be rolling out the product update for the latest Jonas Communication Service version. This new version has a feature that will allow Jonas to update SSL certificates remotely. This update will be complete by 5:20am Local Time.
  • Step 2 – On April 27th 2021 at 5:00am Local Time, Jonas will remotely update SSL certificates. This update will be complete by 5:20am Local Time.
  • Why is this happening?

  • SSL Certificates are responsible for executing secure communication between applications in Jonas. In order to ensure that the communication is secure, the certificates need to be routinely updated.
  • How does this affect me?

  • This makes your job easier – By updating JComm to allow us to remotely update SSL certificates, it means that now, and in the future, you will no longer need to complete that step, as you have in the past.
  • If this impacts me, is there anything I needs to do?
  • The only thing required, is for you to be aware that you may encounter two momentary outages. Each outage could last up to the duration of the update itself (20 minutes), though likely will be shorter. As such, it is recommended that you not submit eMobile work orders during the update periods. Those are:
  • · April 20th 2021, from 5:00am-5:20am Local Time, and
  • · April 27th 2021, from 5:00am-5:20am Local Time
  • If there is more info coming, when can I expect it? We will be sending you a follow up email, after April 27th 2021, to inform you that all has been updated successfully. If your update is unsuccessful, we will reach out to your business directly to address the situation.

    ATTENTION REQUIRED: Notice of Jonas Cloud outage!

    Earlier today, between the hours of 1:30pm EDT and 3:30pm EDT there was an issue that prevented Jonas Cloud users from launching Jonas apps.

    This affected all customers who use Jonas Cloud as their hosting platform for Jonas. At 1:50pm EDT, the Active Directory service became no longer available. The Active Directory is responsible for user authentication and password verification.

    This means that without this functionality, users trying to launch the Jonas Apps would not have been verified, and therefore seen an error.

    As of 3:30pm EDT, this issue is no longer affecting any users, and has been resolved. The Active Directory was restored, thereby providing authentication and verification for users as they launch Jonas Apps. In order to ensure that this does not happen again in the future, we have made architectural changes to the Jonas Cloud infrastructure.

    We apologize for the interruption of service to your workday.

    ATTENTION REQUIRED: Software update for all Jonas Cloud customers

    What is Occurring?

    On March 15, 2021 we’ll be rolling out the product update for the latest Jonas version.

  • If you are on version 2018, you will be updated to 2018.2798.
  • If you are on version 12.8, you will be updated to 12.8.2215.
  • What Action Do I Need To

    This update will automatically be occurring on March 15th, 2021 at 4:00AM (local time).

    We ask that all users are logged off the cloud between the hours of 3:00am-5:00am local time.

    The software update will be completed by 5:00am (local time).
