Problem

Pollard Enterprises was losing revenue to an unmanaged change order process. Crews received verbal approvals on site, but nobody tracked the paperwork afterward. By month-end, the billing window had closed and the revenue was gone. At the same time, payroll and payables still ran on mailed paper checks, adding cost and delay to every cycle.

Strategy

Controller Julie Kovacs joined Pollard with a mandate to integrate and consolidate the company’s systems. To that end, Pollard implemented Jonas Construction Software and brought every module online, connecting change order tracking, payroll, payables, and job costing on one platform.

Results

With all modules connected, change order approvals became trackable and billable work stopped slipping through the cracks. In addition, payroll and payables moved to EFT processing, eliminating the time and cost of mailing physical checks. As a result, Pollard gained the cost visibility it needed to run a tighter, more profitable operation.

Background

Pollard Enterprises is a commercial roofing contractor based in Burlington, Ontario. Founded in 1963, the company has completed more than 10,000 projects across Ontario, spanning commercial, industrial, institutional, high-rise, and specialty roofing systems. Its services cover new construction roofing, re-roofing and replacement, maintenance and repair, cladding and architectural metals, and 24/7 emergency response.

Overview

Controller Julie Kovacs sat down with Jonas Construction Software to share how Pollard Enterprises closed a costly gap in its change order process and modernized payroll after bringing every Jonas module online.

The Problem

Controller Julie Kovacs sat down with Jonas Construction Software to share how Pollard Enterprises closed a costly gap in its change order process and modernized payroll after bringing every Jonas module online.

Before moving fully onto Jonas, Pollard was dealing with:

  • Change order approvals that lived in verbal conversations rather than a tracked system
  • Billable work going uninvoiced because approvals were never chased down
  • Payroll and payables still running on mailed paper checks
  • Delays and administrative burden created by manual, disconnected processes

By the time month-end arrived, the billing window on unchased change orders had already closed. The work was done, but the revenue was gone.

The Strategy

Pollard implemented Jonas Construction Software and, importantly, brought all modules online rather than running the platform piecemeal. Key initiatives included:

  • Moving change order approvals into a tracked, visible workflow
  • Transitioning payroll and payables from paper checks to EFT processing
  • Connecting job costing, payroll, and payables on a single integrated platform
  • Configuring every module so that cost and operational data flowed together

Julie’s view is that the financial benefit of Jonas comes specifically from full module integration. When everything is set up and connected, the visibility into costs and operations creates direct savings across the business.

The Results

Trackable Change Order Approvals

Change order approvals moved out of verbal conversations and into a tracked process. As a result, Pollard stopped losing billable work to missed follow-up.

Recovered Billing Before the Window Closed

With approvals visible, the team could invoice change order work before month-end closed the revenue window.

Payroll and Payables on EFT

Payroll and payables shifted from mailed paper checks to EFT processing. This cut both the time and the cost of every payment cycle.

A Genuinely User-Friendly Platform

Julie describes Jonas as genuinely user friendly, which mattered for adoption across the office and the field.

Cost Visibility Across the Business

When every module connects and runs together, Jonas gives roofing operations like Pollard the cost visibility they need to run a tighter, more profitable business.

"If you integrate and set up all the modules, then it makes it easy. And then there's cost savings with that, because you're able to see where everything is. Everything's captured."
